The Administrative Assistant is responsible for providing comprehensive administrative support to the executive team and ensuring the smooth operation of daily office activities. This position reports directly to the Chief Administrative Officer and assists in managing calendars, coordinating meetings, handling correspondence, and maintaining office supplies and equipment. The ideal candidate should possess excellent organizational and communication skills, be proficient in office software, and have a proactive approach to problem-solving.
โข Provide administrative support to executives and other team members.
โข Manage and maintain executives' schedules, appointments, and travel arrangements.
โข Prepare and edit correspondence, communications, presentations, and other documents.
โข Coordinate and organize meetings, conferences, and events.
โข Take minutes during meetings and distribute them to relevant parties.
โข Conduct research and compile data to support decision-making processes.
โข Handle incoming and outgoing mail, emails, and phone calls.
โข Maintain and update filing systems, databases, and records.
โข Assist in the preparation of reports, presentations, and proposals.
โข Perform general office duties such as ordering supplies, maintaining office equipment, and managing office expenses.
โข High school diploma or equivalent required
โข Proven experience as an administrative assistant or in a similar role
โข Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
โข Excellent communication and interpersonal skills
โข Strong organizational and time management abilities
